Short version: your agency pays, and your clients never do.

Your agency

  • Picks the tier, which sets how many client companies the portfolio holds.
  • Adds and removes clients as the book changes.
  • Invites as many people from the agency as it needs, at no extra cost.

Your clients

  • Get the full feature set your agency's plan carries — nothing is held back from them.
  • Never receive an invoice from us, and never enter payment details.
  • Never see an upgrade prompt or a locked feature inside their portal.
  • Are never counted against each other — one client's roster doesn't eat another's.

On limits: the tier bounds how many client companies sit in your portfolio. The contractor allowance applies to each client separately — it's not a pool your clients draw down from, so a client with a large vendor roster never squeezes the rest of your book.

One-time setup package

Most agencies arrive with certificates already sitting in a shared drive and a roster in a spreadsheet. We'll do that first migration for you, across as many clients as you want to start with, instead of handing your team an import template.

Data cleaning

We de-duplicate each client's roster, straighten out company names that appear three different ways, and reconcile the rows that are really the same contractor.

Bulk vendor import

The lists you already hold, loaded as real vendor profiles under the right client, with contacts and trades — from a spreadsheet, a system export, or whatever shape they are in now.

Legacy documents uploaded

Your back catalog of COIs, W-9s and license copies attached to the right vendor, with coverage dates and limits read off each PDF.

Billing questions

Do my clients get charged anything?

No. The agency holds the only subscription. Your clients never receive an invoice from us, never enter payment details, and never see an upgrade prompt inside the portal you set up for them.

What happens if a client already pays for TrackMyVendor directly?

Once they join your portfolio, your agency's plan is what applies to them and their own billing screen becomes read-only — plan changes and payment live with you. Get in touch before moving an existing customer across and we'll sort out the overlap.

Is the contractor limit shared across my clients?

No. It applies to each client company separately. A client with two hundred vendors doesn't consume anyone else's allowance.

Does switching tiers during the trial restart it?

No. Changing plans mid-trial keeps the original end date — the trial runs its 30 days once, from when you signed up.

What happens when the trial ends?

Nothing is deleted. Your portfolio, your clients and every document stay exactly where they are. You complete checkout whenever you're ready, and the features come straight back.

Can we cancel?

Yes, from the billing panel in your console settings. The subscription runs to the end of the period you've already paid for, and your clients keep their own data either way — closing an agency account releases the client companies, it never deletes them.

Is there a per-certificate or per-vendor fee?

No. The tier is the price. Certificates, W-9s, license checks, alerts and uploads are not metered.
